A volunteer board of 17 distinguished community members and a professional staff oversees the operations and long-range planning for our tax-exempt 501(c)(3) nonprofit organization. We are proud of our nearly 250 volunteers, organized into teams led by committed captains, who play vital roles in areas like docents, events, gardens & grounds, archives, wooden boats, Wilma Lee, and education. AMM is hiring a full-time employee to serve as the HR and Office Manager. We seek a friendly, efficient, and highly organized individual who can work independently and proactively to keep our ship sailing smoothly behind the scenes. We need a caring, detail-oriented person who can easily handle various tasks and help our team stay on course in a fast-paced environment.
JOB RESPONSIBILITIES:
OFFICE MANAGER:
- Manage buildings and property to ensure the campus and its facilities are correctly organized, supplied, maintained, and otherwise running smoothly. Example activities that may be required include arranging for plumbers, electricians, or other contractors to resolve unpredicted issues and developing systems for keeping common areas clean and organized (paper in the copier, supplies in the restrooms, kitchen area presentable).
- Supervise the maintenance custodian, assign tasks, and ensure work is completed efficiently and effectively.
- Manage third-party vendor contracts (such as housekeeping, security, trash removal, etc.) for work supporting building operations, including providing oversight and direction to such vendors, receiving and approving all office-related vendor bills, and submitting to Finance for payment.
- Maintain office equipment, including printer, telephone systems, and meeting equipment, and work with preferred vendors, as needed.
- Serve as the financial backup, managing accounts payable and receivable to ensure timely and accurate financial transactions.
- Handle phone calls and greet visitors to provide a welcoming and professional first point of contact.
- Serve as a scribe for meetings, recording minutes, ensuring accurate documentation, and following up on essential action items.
- Order office, cleaning supplies, and snacks, ensuring cost-effective purchasing and handling receipt and organization of packages.
- Serve as the primary point of contact between AMM and the IT contractor. Communicate IT needs, issues, and updates and ensure timely resolutions. Assist staff with basic IT issues and troubleshooting.
- Assist the President/CEO with preparing correspondences, reports, and presentations.
- Manage Human Resource functions, including maintaining accurate records of staff paid time off and ensuring compliance with company policies, such as completing evaluations and professional development.
- Administer and manage employee benefits and insurance programs and handle related inquiries.
- Maintain and update job descriptions, post open positions, manage recruitment, and manage organizational chart and staff contact lists.
- Ensure compliance with current standards and best practices, including updating the employee manual annually in collaboration with the President/CEO.
- Manage staff onboarding/offboarding, including IT needs, onboarding schedules, staff apparel, etc.
- Organize agendas for all-staff meetings and staff training.
- Plan and execute staff events, including team-building activities, recognition events, and social gatherings.
SKILLS AND QUALIFICATIONS:
- Minimum of 3-5 years of experience in office administration.
- Proficiency in Microsoft Office Suite and HR software; familiarity with office management and financial tools.
- Strong verbal and written communication skills, with a friendly, approachable demeanor.
- Highly organized with the ability to manage multiple tasks, work independently, and meet deadlines.
- Analytical and problem-solving skills with a proactive approach to identifying and addressing issues.
- Experience managing office supplies and vendor relationships and handling administrative tasks like documentation and record-keeping.
- Ability to work in a fast-paced environment, adapt to changing priorities and handle diverse responsibilities.
- Discretion in maintaining confidentiality, especially with sensitive HR and financial information.
- Professional attitude and commitment to positively representing the organization.

The Annapolis Maritime Museum & Park (AMM) aims to inspire a connection and respect for the Chesapeake Bay for generations to come. With a mission to educate youth and adults about the Annapolis area’s rich maritime heritage and the ecology of the Chesapeake Bay through programs, exhibits and community events. This mission is accomplished through a suite of hands-on programming including a robust educational department, winter lectures, community events and two annual fundraisers that bring visitors to two unique locations along Back Creek. The AMM is a 501 (C)(3) non-profit organization.
The AMM seeks a contractor position to act as lead Captain for the Skipjack Wilma Lee, based out of multiple locations on or around Back Creek in Annapolis. The contractor will be paid an hourly rate of $25 per hour. Hours will vary seasonally.
One of only a few remaining Chesapeake Bay Skipjacks, the Wilma Lee is listed on the National Register of Historic Places. The Wilma Lee was built in 1940 on the Maryland eastern shore by the well-known boat builder Bronza Parks. The Wilma Lee has an LOA of 75 feet, 47 feet on deck and a 16-foot beam. She is sloop-rigged with a centerboard, and her push boat has been replaced with two inboard motors. This season a non-functioning push boat has been attached to the boat to use as an example for guests.
Wilma Lee will be used for educational programing, heritage tours, sailboat race watch cruises, specialty and sunset cruises, and private events and charters.
Responsibilities:
- Oversee operations of the Skipjack Wilma Lee, upholding high safety and professional standards for all cruises.
- Ensure timely preventative and remedial maintenance and repair of the Wilma Lee. Including seasonal maintenance, scheduling haul-outs and coordinating significant repairs with vendors and boatyards.
- Manage United States Coast Guard (USCG) certification and oversee inspections including those on Tilghman Island.
- Maintain vessel operation checklists and all records and logs required by USCG and AMM, including those related to vessel and engine maintenance, training and safety drills and rigging.
- Develop and conduct Captain and Crew training programs, to include a final sign off process for each crew member.
- Develop and administer drug and alcohol testing, CPR, First-Aid, and safety program for crew and docents and all other USCG requirements regarding the operation of a commercial passenger vehicle.
- Serve as the on-call Captain and contact.
- Ensure all passengers have an outstanding experience by utilizing strong guest service skills and exercising effective communication skills.
- Call Charter Guests if a cruise is canceled to alert them and follow the proper cancellation protocol.
Skills and Qualifications:
- Must possess a current Merchant Mariner Credential of Master of Self-Propelled Vessels of at least 50 tons, including Auxiliary Sail upon Inland Waters with a satisfactory record, as well as a current Medical Certificate.
- Experience operating commercial passenger USCG “t” vessels, with experience operating a vessel similar in size to the Wilma Lee
- Have and maintain Radio Operator Permit, CPR, and First Aid Certification.
- Experience with boat maintenance and small repairs, with wooden boat maintenance experience preferred.
- Physical ability to lift and carry heavy objects of at least 50 pounds.
- Ability to stand for full 8-hour shift as needed.
- Willingness to be on-call and monitor the boat during inclement weather and manage emergency repairs.
- Willingness to work outside in all weather conditions and on weekends, evenings and on holidays.
- Knowledge of Chesapeake Bay ecology and environment issues facing the bay.
- Passion for sailing and educating children.
- Excellent verbal communication skills, high energy, and enthusiasm.
- Flexibility and the ability to problem solve.
- Must pass a background check and submit to pre-employment and ongoing drug and alcohol testing per the requirements of the USCG.
- Must be a US citizen or permanent resident per the requirements of the USCG.

These teams, focusing on docents, events, gardens & grounds, archives, wooden boats, Wilma Lee, and education, play vital roles in our mission. Captains oversee training and scheduling, ensuring smooth operations.
Job Responsibilities:
• Review new applications, interview, and vet volunteers.
• Oversee and assess volunteer needs, identifying gaps in service areas and strategically assigning volunteers to address those needs.
• Collaborate with Volunteer Captains to ensure effective deployment and fulfillment of goals and incentives.
• Serve as Captain for the Garden & Grounds Team by leading and coordinating garden and ground maintenance activities.
• Work closely with volunteers in the Garden & Grounds team, providing guidance and support.
• Liaison with Volunteer Captains and enlist new Captains as needed.
• Solicit and manage volunteer waivers.
• Recruit, train, and retain volunteers for assigned service areas with volunteer captains’ assistance.
• Schedule and organize Volunteer Appreciation events; facilitate volunteer awards and incentives.
• Network with community resources and represent the volunteer program within the community.
• Serves as a liaison to facilitate communication between the volunteers and staff.
• Maintains volunteer recruitment and retention records.
• Recruit volunteers through various techniques (databases, e-mail, press releases).
• Coordinate teams of volunteers for new or large-scale projects.
• Communicate frequently with volunteers to ensure they are satisfied and well-placed.
Skills and Qualifications:
• Excellent communication and interpersonal skills with the ability to engage effectively with volunteers, staff, and external stakeholders.
• Strong customer service, ensuring a positive experience for both internal and external contacts.
• Proficiency in computer applications and software, including Microsoft Office Suite
• Demonstrated ability to work efficiently in a fast-paced environment, handling multiple tasks with attention to detail and accuracy.
• Highly organized with practical time management skills to prioritize tasks and meet deadlines.
• Previous experience as a volunteer coordinator or non-profit
• Flexible and adaptable, able to navigate and contribute to a dynamic work environment.
• Strong problem-solving skills and the ability to make sound decisions independently.
• Proficiency in general maintenance practices and a basic knowledge of gardening principles.
• Willingness and ability to work weekends and nights as needed to accommodate volunteer schedules and special projects.
